How equipment rental works when you book entertainment

Most couples assume that booking entertainment means everything needed to hear it arrives with it. Sometimes that is true. Often it is only true for one room.

The thing to understand is that sound is per location, not per wedding. A ceremony on a lawn, a cocktail hour on a terrace and a reception in a ballroom are three separate sound problems. They are frequently three separate systems. A quote covering one of them is not wrong, it is just answering a narrower question than you asked.

This is why multi-day weekends are priced the way they are. When a wedding spreads across a property, the number of places people gather is the number that drives everything else. One weekend we produced involved eleven separate sound positions across four days, including a truck bed rigged for a parade. That is not a template, it is what that particular weekend needed, and no quote built on "a DJ for the reception" would have covered it.

What normally comes as standard. A full professional sound system for the main reception space, wireless microphones, and dance floor lighting. With Modern Era these come with the artist you book rather than as a package tier, because the pricing is built around the performer rather than a fixed bundle of hours. Most performers start at $2,500 for the day.

What is usually quoted separately. Additional locations. Lighting beyond the dance floor, which Modern Era prices at $550 for each enhancement with $100 off for every two. Photo booths, at $695 for a digital booth or $995 for a print booth with unlimited printing. Anything requiring rigging, high voltage, or equipment the venue restricts.

The venue is the variable nobody accounts for. Some have house systems. Some require you to use an approved sound vendor, which is a genuine barrier and one worth discovering before you fall in love with the room. Some have a power situation that changes what is possible. Very few publish any of this.

Ask three questions. How many locations does this quote cover. What happens if we add one. And has anybody spoken to the venue about power and load-in. If the answer to the third is no, that conversation is the most valuable hour in your planning process.
